Job Description

The Operations Coordinator is a full time position that handles a variety of day-to-day activities directly supporting the VP of Ops and ensuring smooth and efficient business processes and logistics. This key individual will serve as the VP of Ops right-hand, assisting them in all aspects of their job, as well as providing the operational support to the company as a whole. This means supporting operations and administration in a highly technical and fast -paced environment, the successful candidate will be detail -oriented and have the ability to multitask and shift gears quickly. Ownership of tasking, critical thinking, ability to problem solve and ability to prioritize are characteristics we seek for this supporting role. While a technical background is not required, the ability to interact and communicate effectively with a wide range of stakeholders —from management to engineering staff —is critical. This position reports directly to the VP of Ops.

Responsibilities

  • Work directly with the VP of Ops to support all aspects of their daily work.
  • Keep the VP of Ops advised of time-sensitive and priority issues, ensuring appropriatefollow-up.
  • Manage the VP of Ops calendar by prioritizing time, scheduling events, and protectingproductivity time, as well as coordinating travel arrangements.
  • Organize and prepare for meetings, ensuring the VP of Ops has the necessary materialsand background information in advance of the meeting.
  • Determine priority of matters of attention for the VP of Ops; redirect matters to staff tohandle, or handle matters personally, as appropriate.
  • Review and draft documents, including internal memos, reports, emails, and briefings.
  • Spearhead data analysis projects as directed by VP of Ops, including but not limited toproject status overview, resource loading, efficiency metrics, etc.
  • Help maintain the ERP system by opening, processing, and closing out productionorders.
  • Support the finance team with monthly cycle counts of inventory.
  • All other responsibilities as reasonably assigned.

Requirements

  • Associates degree in Business or Administration or equivalent experience. Candidateswith administrative experience in a technical environment will receive priorityconsideration
  • Computer literate, internet savvy, and proficient with standard office and communicationsoftware (Excel, Lucidchart, Google Suite, SLACK, Zoom, and Teams)
  • Exceptional organizational skills as well as a strong demeanor for being organized.
  • Exceptional time management skills as well as a demonstrated ability for timemanagement.
  • Superior oral and written communication
  • Razor-sharp attention to details for precision data management.
  • Ability to think critically, work independently, and take ownership of internal processes
  • Open to travel.
